      在電子郵件營銷中,很多人往往會注重引人注目的主題行、有吸引力的標題和引人注目的開場白,這些無可厚非,都是一封優質郵件需要包含的重要元素。

      我們知道,潛在客戶看似令人望而卻步,但是至少可以說,曾經他聯系你發的一連串的詢盤信息和電子郵件,說明他對你的產品是有需求的。所以,我們要進一步的了解他的真正需求是什么,得到客戶的信任與支持。
      以下是外貿人與優質潛在客戶發送電子郵件建立的一些關鍵要素。
      一、聯系客戶的理由
      這個應該是檢查你自己的方式。發送開發信聯系潛在客戶的理由是否讓他信服呢?他們是合適的買家角色嗎?他們與你過去成交案例的客戶是否有相似的地方,你能為客戶提供什么價值,如果沒有,請先不要聯系。
      二、立即聯系的理由
      與判斷是否合適買家同樣重要的是,你的公司是否有某些產品會迫使他們購買。如果沒有緊迫感(這可能以業務上產品急缺的痛苦,突發事件或內部計劃等形式出現),則沒有理由購買。因此,不僅要尋找適合你公司業務銷售垂直的行業和公司。你現在有充分的理由立即聯系他嗎?
      三、發送有價值的郵件

      01、Greeting?問候語


      Business email的開頭都需要一個greeting或是問候,最常見的用法是Dear接收信人的名字,以下是一些例子:

      Dear?John,

      Dear?Mr.?Smith,


      加上稱謂的用法比較正式,寄信給長輩或客戶比較常用的到,如果是寄給同事或是別的公司的合作伙伴直接寫名字( first name )就可以了。


      再來提供給大家一個還蠻常見的用法,在你不確定收件人是誰的時候很好使用!公司收到這種信通常都會轉寄( forward )給相關的人員。

      To whom it may concern,(敬啟者:)

      要記得這些greeting后面都需要加一個逗號( comma )然后空一行( empty line )才能開始信的內容!


      02、Purpose?目的


      在進入信件內文之前我們通常會先告知收信人這封信件的重點或目的。

      我寫這封信想詢問…
      I?am?writing?in?reference?to?…
      我寫這封信是關于…

      在回覆信件的時候,可以這樣說:

      Thank?you?for?reaching?out?to?us?regarding?…
      感謝您主動聯絡我們…


      這邊的in?reference?to還有regarding都是是「有關」或「關于」的意思,它們的用法和about很接近,差別是about比較不正式,是比較口語的用法。


      口語:I'm talking about the meeting scheduled for next week.
      正式:I am writing in reference to the meeting scheduled for next week.
      正式:I am writing to you regarding the possibility of scheduling a meeting for next week.


      大家有沒有注意到in reference to的用法跟regarding有一點點不同?通常in reference to用于「說明已經跟對方提過的事」,regarding的用法比較廣泛。


      03、Content?內文


      再來就是信件的內文了,先跟大家提醒一些小技巧,寫商業信件的時候內文要簡單明了( clear and concise ),相信大家每天也收到很多email,不想讀很冗長的信吧!


      記得也要注意正式信件里我們不會把一個句子全部大寫,不過可以用粗體讓重點句子比較明顯。


      錯誤用法:PLEASE REVIEW THE ATTACHED DOCUMENTS THOROUGHLY.
      正確用法:Please review the attached documents thoroughly.

      請仔細檢視附件。跟附件相關的用法:

      04、Closing?結尾


      信件內文的最后一部分通常會感謝收信人或解釋下一步是什么。

      05、結尾敬語與簽名檔(一個經常被遺忘的元素)


      再來就是信件的結尾,會有sign?off和signature?block,sign off要注意只有第一個字需要大寫!下面提供一些最常看到的sign off:

      在北美其實比較少人會用Best regards,它并不能算很正式,所以大多數的人會用Sincerely,它是最正式和最安全的用法。


      Sign off后面要接signature block,這個包括你的姓名( name )、職稱( title )、公司( company )、聯絡資訊( contact information )等。
